What is Phone System in RealtyCoworker?

The Phone System in RealtyCoworker is the built-in business calling and texting tool for real estate agents and brokers. It provides local or toll-free numbers, number porting, call forwarding, phone trees, voicemail, call recording, missed-call text back, ringless voicemail drops, call tracking numbers, a dialer and two-way texting, with every call logged to the contact.

What’s inside

Everything in Phone System.

  1. Local and toll-free numbers

Get local or toll-free numbers for you or your team. Numbers may carry an additional cost.

On the job: Pick a 732 number so sellers in Ocean County see a local call.

  2. Number porting

Bring your existing business number over so clients keep calling the number they know.

On the job: Move the number printed on your yard signs into RealtyCoworker.

  3. Call forwarding and routing

Forward calls to your cell or route them to teammates, with caller ID options so you see useful context.

On the job: Ring the agent on floor duty first, then the team leader.

  4. Phone tree (IVR)

Greet callers with a menu and route by choice, with options for unanswered calls such as a message and callback.

On the job: 'Press 1 for buying, 2 for selling, 3 for rentals' sends each caller to the right person.

  5. Call recording

Record calls for review and training. Disclose recording and follow your state's consent laws.

On the job: A team leader reviews a new agent's listing call with a recording announcement in place.

  6. Voicemail

Callers can leave voicemails that are saved to the contact record.

On the job: Listen to a buyer's voicemail about a Brick listing between showings.

  7. Missed-call text back

Automatically texts callers you could not answer, from an eligible number.

On the job: A seller calls during your closing and gets a text right away.

  8. Voicemail drop

Leave a pre-recorded voicemail in your own voice without a live call, as a step in your automations. Use it only with contacts who gave consent for prerecorded calls.

On the job: A new seller lead who has not replied by Day 3 hears a short message from you.

  9. Call tracking numbers

Use separate numbers for signs, ads or mailers to see which source made the phone ring.

On the job: Put a unique number on your postcard farm in Toms River.

  10. Two-way texting

Text clients from your business number, with replies in the shared inbox. Texting requires A2P 10DLC registration and contact opt-in.

On the job: Text a buyer the inspection time and see their reply in the same thread.

    Explore Conversations
  11. Dialer

Place calls from the app on desktop or mobile, logged to the contact.

On the job: Work through your expired listing callbacks from your laptop.

  12. A2P 10DLC registration

Register your business for texting with carriers so messages are delivered. Registration fees may carry an additional cost.

On the job: Register once and your team can text from the business line.

How agents use it

Phone System, on a real workday.

  1. 1

    Cover calls during showings

Route calls to whoever is free, text back anyone you miss, and let Voice AI answer when configured.

  2. 2

    Measure your marketing

Give your open house signs and mailers their own tracking numbers to see which ones bring calls.

  3. 3

    Team texting with history

Everyone on the team texts from the business number, so a lead's history stays with the brokerage, not a personal phone.

FAQ

Phone System questions, answered.

Can I text clients from my business number?

Yes, once your business completes A2P 10DLC registration. Text only contacts who opted in, honor STOP replies, and keep messages relevant. Replies appear in the shared inbox on desktop and mobile. Registration may carry an additional cost.

Can I keep my current phone number?

Yes, you can port an existing number in most cases. Porting takes some time to complete and the number may carry an additional cost, along with usage for calls and texts. Keep your old service active until the port is complete so you do not miss calls from clients.

Is call recording legal?

It depends on where you and the caller are. Some states require everyone on the call to consent. Turn on a recording announcement and check your state's rules. This is not legal advice. Recordings are saved to the contact record so you can review them later.

How are calls and texts billed?

Calls and texts are billed at usage rates on both plans. Lift Off includes a $15 monthly usage credit and lower usage rates. Phone numbers themselves may carry an additional cost. You can review usage in your account so there are no surprises at the end of the month.
